Our team provides advocacy support to Jewish and pro-Israel communities across the country.
Position Overview
The Administrative Coordinator role provides administrative and operational support to the GTA team covering all aspects of CIJA’s work. This position supports community engagement initiatives, coordinates advocacy activities, manages office operations, and assists senior leadership with communications, scheduling, and stakeholder relations. The ideal candidate is highly organized, meticulous, initiative-taking, and passionate about nonprofit and community-focused work.
Key Responsibilities
Administrative Support
- Organize all aspects of conference calls, virtual meetings, off-site meetings, and special events for the SVP Community Engagement and the VP, Ontario.
- Prepare and distribute meeting minutes, correspondence, reports, slide presentations, and other materials.
- Manage and maintain appointment calendars for multiple senior managers.
- Arrange travel accommodations including flights (via in-house travel manager) and hotels for staff and team members.
- Liaise with the accounting department regarding invoices, cheque requisitions, expense submissions, and related financial administration.
- Compile and maintain contact lists using NationBuilder and other database platforms.
- Assist with tracking advocacy activities, team action items, and follow-up tasks to ensure timely completion.
Technical & Operational & Office Support
- Provide general office administration support including reception duties, ordering office supplies, and maintaining storage/supply areas and office equipment. Troubleshoot basic technical support issues related to printers, phones, and IT equipment.
- Serve as office liaison with the Lipa Green Centre Tech Team, building security, maintenance, and tenant services.
- Assist with office coordination to ensure smooth daily operations.
- Perform other related duties and responsibilities as assigned by the employer.
Qualifications & Skills
- Previous experience in an administrative support role is a MUST.
- Previous experience in a nonprofit, advocacy, or community engagement organization is an asset.
- Strong written and verbal communication skills and attention to detail is a must.
- Excellent organizational, multitasking, and time-management abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Experience using databases such as NationBuilder or similar CRM platforms is an asset.
- Ability to manage multiple priorities and find solutions in a fast-paced environment.
- Professional interpersonal skills and the ability to collaborate with diverse teams and stakeholders.
- Ability to maintain discretion and confidentiality.
- Passion for community advocacy, nonprofit work, and community engagement.
- Diploma or degree in Social Sciences, Public Administration, Communications, Nonprofit Management, Office Administration, or a related field preferred.

Working Conditions
- Located in our Toronto offices.
- Hybrid work environment (optional/depending on company policy).
- Occasional evening or weekend events.
- Participate in community events and represent the organization professionally when required.
- Some local travel may be required for meetings and community outreach activities.
